Site agents / Quill
Site agent · RFI writer & trackerQuill: RFI writer & tracker
Draft clear, numbered RFIs and keep the register up to date. Works with Grok, Claude, ChatGPT and Microsoft Copilot.
What you get
- Structured RFIs with drawing references
- Register with status and response dates
- NEC early-warning prompts
How the workflow runs
- Paste your current register, or the last RFI number.
- Type new and your rough question. You get a formal RFI and the register row.
- When a reply lands, type update with the ID. Status, response summary and contract flag are updated.
- Every Monday, type overdue for the chase list and chasers, then csv back to your master register.
What's in the kit
| system-prompt.md | The persona and instructions. Paste this into your assistant. |
| example.md | A worked example: a new RFI, a register update and an overdue chaser. |
| rfi-register-blank.csv | Blank register with the exact columns the bot uses. Open it in Excel or Google Sheets. |
| rfi-register-blank.md | The same register as a Markdown table. |
| rfi-form-blank.md | A blank RFI form in the bot's format. |
| licence-and-safe-use.md | Your licence, and how to use AI safely on site. Read this first. |
| setup-kit.pdf | Setup guide ebook: Grok, Claude, ChatGPT and Microsoft Copilot, with copy-and-paste prompts. |
You need your own account with Grok, Claude, ChatGPT or Microsoft Copilot. Some features (projects, custom GPTs, agents) need a paid plan from that provider.
Rough question. Formal RFI. Register updated.
A WhatsApp-style note from site becomes an answerable RFI and a register row. Quill points out the conflict but doesn't decide it, and it never invents a reference. Fictional project and names.
plot 9 drainage – D-201 rev C shows the 100 pipe going into MH3 at IL 45.20 but the MH schedule D-210 rev A says MH3 invert is 45.05?? cant both be right. groundworkers want to lay that run thurs pm, holding it till we hear. engineer is Owen at Fenwick
Request for information — LKM-RFI-014
References
Drainage layout D-201 rev C · Manhole schedule D-210 rev A
Location
Plot 9, 100 mm foul drainage run from plot 9 to MH3
Question
(a) Please confirm the correct invert level for the 100 mm connection from plot 9 into MH3. (b) If the connection is at IL 45.20 and the MH3 invert is IL 45.05, please confirm whether a backdrop or other detail is required.
Background / what is unclear
D-201 rev C shows the pipe entering MH3 at IL 45.20. D-210 rev A gives the MH3 invert as IL 45.05. The two documents may not agree, or the difference may be intended. We have not assumed either.
Proposed solution

Impact if late
Groundworks are programmed to lay this run on Thu 15/10/2026 PM. The run is on hold until we receive a reply.
